REFUND POLICY
At The Flame Fitness, our goal is to ignite your passion for health and provide an exceptional fitness experience. We believe in our services and facilities, but we understand that circumstances can change. Please review our Refund Policy carefully to understand your options.
## 1. Membership Fees
1.1 Monthly Memberships: These are non-refundable. We bill on the 1st of each month for that month's access.
1.2 Annual Memberships: If cancelled within 5 days of purchase and before first use, full refund. After 5 days or first use, no refunds.
1.3 Initiation Fees: Non-refundable once membership is activated.
## 2. Cancellation vs. Refund
2.1 Cancellation stops future billing but doesn't refund past payments.
2.2 Month-to-month plans: Cancel anytime with 30 days' notice, no refund.
2.3 Term contracts (e.g., 12 months): No early cancellation refunds unless:
- Medical disability (doctor's note required)
- Relocation over 25 miles (proof of address needed)
- Death (handled via estate)
## 3. Pro-Rated Refunds
3.1 Offered only for annual memberships in cases of:
- Medical disability
- Relocation over 25 miles
- Death
3.2 Calculated from the date of written notice with valid documentation.
3.3 Any used months are charged at our standard monthly rate.
## 4. Class Packages & Personal Training
4.1 Class Packs (e.g., 10 yoga classes):
- Refundable within 5 days of purchase if unused.
- After 5 days or any use: No refunds, 6-month expiry.
4.2 Personal Training Sessions:
- Full refund if cancelled 7+ days before first session.
- 50% refund if cancelled 3-6 days before first session.
- No refund if cancelled 0-2 days before, or after first session.
- Unused sessions expire after 6 months, no refunds.
## 5. Workshops & Events
5.1 Full refund if cancelled 14+ days before event.
5.2 50% refund if cancelled 7-13 days before.
5.3 No refund if cancelled 0-6 days before, or after event starts.
5.4 If we cancel, you get full refund or credit, your choice.
## 6. Gym Store Purchases
6.1 Unopened items: Full refund within 30 days with receipt.
6.2 Defective items: Exchange or refund within 90 days.
6.3 No returns on food, drinks, or personal hygiene products.
## 7. Service Interruptions
7.1 Short-term closures (up to 7 days) for maintenance or unforeseen events: No refunds.
7.2 Extended closures (8+ days): Pro-rated credit for future months.
7.3 If a specific facility (e.g., pool) closes but gym remains open: No refunds.
## 8. Membership Freezes
8.1 Instead of refunds, consider freezing your membership:
- Up to 3 months/year for any reason
- Longer for medical reasons with documentation
8.2 No fees charged during freeze, contract end date extends.
## 9. Form of Refund
9.1 Refunds issued to original payment method.
9.2 Allow 5-10 business days for processing.
9.3 Credits to account are instant but non-transferable.
## 10. Dissatisfaction
10.1 If unhappy with service, speak to a manager before requesting a refund.
10.2 We'll try to resolve issues. Partial refunds may be offered at our discretion.
## 11. Legal Compliance
